Accountant (Part-time)
The Accountant is a member of the Irvine Barclay Theatre Operating Company (IBT) Finance Department, reporting to the Sr Vice President of Finance and Operations. The Accountant is the primary administrative and logistics point of contact for the Finance Department and the Executive Offices

Duties and Responsibilities
 
Accounting Responsibilities:

Prepare Billings for Events
Entering time for payroll system into Tim & Billing
Obtaining Re-billing documents from Production and Front of House
Using provided box office statements to then complete final billings in Time & Billing
Create invoices in QuickBooks
A/P Processing – Enter Bills Into System, match bills with outgoing checks
Creating HR files for new employees
Filing A/P, and Event Documents
Processing Ticket Office Daily Reports and then processing deposits in QuickBooks based on bank actual reporting
Opening mail and entering checks in log, providing Development department with copies of donation checks.
Preparing Deposits and taking deposits to bank then entering deposits into QuickBooks
Audit related tasks assigned by SR VP.

Assist with Executive Office Administration:
Answering Main Telephone Line (not busy)
Obtaining, opening and delivering mail.  Taking outbound mail to mailroom
Creating Files for All Events

Knowledge, Skills and Abilities
Demonstrable experience at a high skill level with Microsoft Word, Excel. 
Demonstrated ability to interact with co-workers, vendors and donors in a manner based on ethical decision making, discretion, diplomacy, and exceptional courtesy
Ability to work independently to identify, define and achieve desirable organizational outcomes
Highly organized and detail oriented, with the ability to recognize patterns
Ability to effectively balance management of multiple current projects with awareness of longer-term duty timelines
Exemplary verbal, written and interpersonal communication skills are required
Experience with QuickBooks and FileMaker a plus

Education and Experience
Minimum educational requirement: demonstrated completion of an associate degree, or currently working toward an undergraduate degree from an accredited institution of higher education
Previous work or education in accounting will be considered a plus

Demonstrable on-going mutual respect for internal and external colleagues is required
An ability to gracefully handle challenges in the context of a fluid and typically fast-paced daily work flow is vital

Reports to: Sr. Vice President of Finance and Operations
Supervisory responsibility: None
Compensation: Part-time, hourly starting at $21/hr. – Approximately 20-25 Hours per Week
Working hours Open but Morning Hours are Preferred

Physical requirements:
Must be capable of walking up and down stairs/inclines
Must be able to periodically lift items of up to 20lbs.
Must be able to assist others in cases of emergency
